To access the clinical and other information systems at BWH and MGH, residents are given a Partners network login name and password, also referred to as a "key". (At any other time, the department’s administrator provides a key.) When a password is issued there are particular authorizations attached to it based on your job status and clinical access. Users are required to sign a security/confidentiality statement indicating that you understand that your password/key is also your electronic signature for patient orders. This being the case, DON'T share your password/key with anyone. If you forget your key (password) contact your department administrator (at BWH) or Help Desk (at MGH) and you will be issued a new one.

Your login name never changes, and is used when you need to log into a Partners Workstation or a PACS (image viewing) workstation. You need to use a Partners workstation for access to your Outlook e-mailbox, the Internet or the information system of the hospital you are not at currently (i.e., you are at MGH and need to access BICS).

At BWH (see below) you will be using BICS, the Brigham Integrated Computer System. There are many "systems" included in BICS. Clinical Information (CI) is the system that you will use most often and is available to all clinicians. CI contains Patient Lookup for access to all patient’s lab and test results; OE (Order Entry) is for entering all inpatient adult orders; Handbook provides access to online references, the Partners Telephone Directory and many other options.

At MGH you will have access to PCIS, the Patient Care Information System, a comprehensive system of online laboratory results and clinical reports as well as MGH Colleague, an online literature search (you will need an account, which you can get from your Service office); MAGIC, the online Treadwell library card catalogue, Micromedex etc. All new staff who will be using PCIS are strongly encouraged to complete the PCIS computer-based tutorial (CBT), including the evaluation section. The locations at MGH where you can complete the tutorial are listed below.

E-MAIL
Residents and fellows are given an OUTLOOK e-mail account. To access your account, you can use a Partners Workstation, or you can access your email account remotely through the internet at http://www.partners.org/email

Remote Access
Dial-in access is available for BICS, PCIS and e-mail. Details on Secure ID software and how to use it will be available at orientation.

Confidentiality
Carefully review the Partners policy on confidentiality.

Using the Computer
To log on to a Partners device, type in your user name and hit TAB, then type in your password and hit ENTER.

To access BICS or your e-mail (OUTLOOK) account, click on the START button, move the arrow up to "Partners Applications". Then move the arrow to the right to view the choices and click on BICS or OUTLOOK.

Computer Equipment

BICS

Most of the computers in the in-patient clinical areas will have the Pod Monitor displaying as a screen saver. The Pod Monitor, also referred to as the Unit Census Monitor (UCM), is a list of patients who are currently admitted to the specific Pod or Unit you are on. If selecting a patient from the Pod Monitor move the blue bar up and down the screen with your arrow keys, then select one of the patient specific options (all patient results are in the Patient Lookup option). If you choose to move off the Pod Monitor select the "Systems Menu" option button on the bottom of the screen by pressing ALT+S. (While you are in Order Entry and in any system in BICS, use the keyboard to make selections and maneuver through the screens.)

 

Order Entry

To access Order Entry you can select a patient from the Pod Monitor or select System CI from the blue screen and choose the Order Entry option. The ENTER key moves you forward in the system and also confirms your selections; the ESC key takes you back and exits you from the system. Any letters that appear red on the screen require you to hold down the ALT key and type that specific red letter when selecting the option. Any blue letter option on the screen only requires you to select the letter from the keyboard. If you do not know what your options are, type in the "?" or the F1 key to display a list of options to choose from (at any "options" prompt).

The action bar, along the top of the Order Entry screen, allows you to look up patient information without exiting Order Entry. To select one of those options hold down the ALT key and the letter that is red. To quickly recall the last patient you had entered into the computer during a session, hold down the SPACE BAR+ENTER when you see the patient prompt.

 

Writing Orders

Most orders are written on the scratch pad. The scratch pad separates orders into categories or types. To get to the scratch pad from the Pod Monitor type in your password (key), highlight the correct patient by using your arrow keys and select the Write option by pressing ALT+W. To get to the scratch pad from the blue screen or a computer that does not display the Pod Monitor, type in your password and hit ENTER. At the system prompt type in CI (Clinical Information). Select O for Order Entry, then O for Enter/View/Print Orders. Type in the patient’s medical record number or last name comma first name (no space in between), then E for New Orders.

Once on the scratch pad, type in the letter of the category appropriate for your order. Complete the fields following the instructions on the bottom of each screen. When finished completing an order session, making changes, edits or deletions, sign the orders by pressing ALT+S and putting in your password (key).
