Outlook Out Of Office Assistant and Partners Email (9.18.07)

By default, the Outlook Out of Office Assistant, when activated, only sends OO messages to users emailing you from within Partners and its affiliates. To configure your Outlook client to send OO messages to users both inside and outside Partners and its affiliates, follow the instructions here (internal link)

ABOUT PARTNERS EMAIL

The Partners standard email system is Microsoft Exchange. It is designed to work with a PC that's a Partners build workstation using the Microsoft Outlook mail client. The Microsoft Outlook mail client also works well on a non-Partners build PC.

The following Outlook mail clients are in use and supported by Partners:

If you use an Outlook PC client (2000, 2002, 2003) with your Partners EXCH account, know that your client blocks a number of attachment extensions (e.g., .exe, .bat). Information on blocked attachments from Microsoft. These attachment extensions should not be blocked if you are using a non-Outlook mail client and have that client configured not to block them.

As a protection from potential viruses, users are restricted from accessing these attachments from within Outlook 2000. Users who need to distribute the attachments on this list must post them to shared file areas, intranets, online hard drives, community Web sites, or forward to a non-Outlook account, or use FTP.

Any POP or IMAP mail client (like Eudora, Mac Mail or Entourage, Netscape mail, etc.) will also work, but full folder functionality may not be available.

Access your Partners email while not on the Network:

  • In addition, you can access your mail from anywhere via Outlook Web Access, a secure website at http://www.partners.org/email. To access a Partners Exchange mail account you need a Partners Logon ID and password.
  • You can now access your Partners e-mail remotely without having to use a VPN connection. This service is available using whatever e-mail client you currently use and just requires some changes in the client configuration. If you don't have a Partners Logon ID, you may request one.

If you already have a Partners Logon ID, but want an e-mail account, ask your supervisor to send an e-mail to EmailAccess@partners.org with the following information:

  1. Your Name
  2. Your Partners Logon ID:
  3. Organization (MGH, BWH, etc)
  4. Office or Lab Location (building and room number)
  5. Phone #
  6. Fax #
  7. Pager ID

Accounts generally take 2 business days or less to set up. The information you provide will also appear in the Partners Phone Directory (PPD) which is an internal directory listing all Partners employees.

If you don't have Partners build PC and you want Microsoft Outlook, we can load it on your machine for free. Call the Help Desk at 617.726.5085 and ask to log a call to the Research queue to load Microsoft Outlook on your computer.
