The Partners Research Computing Secure File Transfer Service

Partners Research Computing now offers a Secure File Transfer Service to exchange large files with collaborators both inside and outside of Partners via a web browser rather than ftp. The service is a secure web based application with anti-virus detection built in. The attached files are encrypted and uploaded to an appliance and the recipient receives an email with a link. When the recipient clicks the link, the file is downloaded from the appliance; first time recipients are asked to register. Partners users can also send an email invitation via the system to users outside of Partners to register to use the service. The system will authenticate anyone within Partners by using your e-mail address and choosing a six character or longer password. The password should contain both numbers and letters.

Create an account

Go to https://transfer.research.partners.org, click on the New User link to register for a new account and follow the prompts.  Alternatively if you have received an invitation email, click on the link in the invitation email to access the link and register for an account.  If you don't use your account in a 30 day period it will expire and you will need to create an account again as described in the first sentence.

Sending a File

To send a file, login to the Secure File Transfer Service with your email address and password.

Once logged-in, select the Send File menu tab which provides you with an interface to compose an email and attach a file.  Once you have composed your email and attached a file, hit the Send button.  Your file will first be uploaded to the Secure File Transfer Service Appliance and then your email sent along with a secure link to the file. A progress bar will indicate the upload progress.

Send options

You may choose to send a file Non Confidential which means the recipient will not have to register and authenticate to download the file. When you use this option, you will not be able to use the Notify on Attachment Delivery option; they are mutually exclusive. A file that is sent Non Confidential does not require the recipient to register unless that recipient wishes to transfer a file back to the sender.

How big a file can I send?

You can send individual files up to 9GB, or multiple files totaling 9GB. To send a file larger than 2GB, make sure there is a check in the box on the Send File screen next to Attachments - Folder/Large File Applet . If you are sending a file 2GB or less, make sure this box is not checked.

How many attachments can I send in one email?   

The limit is ten with the combined total size 9GB or less. If you send a Folder containing multiple files, the Secure File Transfer Service .zips the folder before sending. Your recipient will need software such as WinZip to open the attachment once downloaded.

Receiving a File

The recipient of a Secure File Transfer receives an email containing a secure link.  The recipient  clicks on the secure link to download the file. Links expire in 21 days. If the recipient is a first time user of the Secure File Transfer Service, and the sender did not select the Non Confidential option, they will first be asked to authenticate themselves. This is a quick automated procedure that includes verifying ownership of their email address.  If the sender selected the Non Confidential option, the recipient will not need to authenticate.  (java dependent)

Returning a File & Collaboration

Recipients can use the Secure File Transfer Service to send files back to you:
 
1. If they have received a file from you, they will automatically create a login and password as part of the authentication process which can be used to send files back to you or anyone else who is registered user with an affiliate email address. 

2. You can also send an Invitation to a user to register. The icon is in the upper right corner of the the Send File screen; just click, enter the email of the invitee and send. The invitee will receive an email with a link taking them to a page to register

Useful Tools

In addition to basic send and receive functions, the File Manager menu tab provides a File Cabinet, Inbox and Send History for keeping track of the files you have sent and received.
